Set Up the CentralApp Appointment Booking Module

Simplify the management of your appointments with CentralApp. Set up your form, structure your availability, and receive requests automatically for a smooth and frictionless organization.

Why Implement an Appointment Booking Module

Each request is a request for an appointment (not an automatic confirmation): you receive it by email and must manually validate it from your CentralApp space.

The appointment request module allows you to maintain control over your schedule through manual validation of each request. You receive requests by email, can qualify them before confirmation, and avoid scheduling errors or conflicts, while providing a simple and seamless experience for your clients.


Configure the Appointment Form

  1. Access the Appointments page from the CentralApp site editor.

  2. Enable the publication of the feature (otherwise it will not appear on your public site).

  3. Click on the configuration button and select the simplified form CentralApp.

Form Settings

Adapt your form according to your activity:

  • Email address for appointments: address that will receive notifications of new requests

  • Appointment instructions: important information to display before validation (conditions, duration, recommendations, etc.)

General Availability Settings

Click on Show in the General Availability Settings section to access the following options:

  • Maximum booking period in advance

  • Minimum lead time before an appointment

  • Increment: interval between slots

  • Appointment duration: standard duration for calculating availability

Appointment Hours

Configure your establishment's appointment hours according to your opening hours, increment, and booking duration. You can also set specific or exceptional hours for particular periods.

  • Indicate Closed if you are not available

  • Enter your time slots if you are open

  • Click on Add a time slot to add a second slot

Appointment scheduling hours

The end time corresponds to the last possible appointment, not your closing time.

Example:
Availability on Thursday from 12:00 PM to 2:00 PM

  • Increment: 15 minutes

  • Duration: 1 hour

→ Available slots: 12:00 PM, 12:15 PM, and 12:30 PM


Exceptional Hours

Adapt your availability for special cases:

  • Go to Exceptional Hours

  • Click on Add an exceptional hour

  • Define the relevant period (holidays, events, closures)

  • Click on Add to save

Appointments by Phone

It is also possible to enable appointment booking by phone from the website by checking the dedicated box.

By default, the establishment's phone number is used. If you wish to receive appointment requests on another number, you can enter it.


Best Practices

  • Respond quickly to requests to enhance the customer experience

  • Set clear rules in your instructions (duration, conditions, cancellation)

  • Adapt your availability according to your actual activity

  • Anticipate your deadlines to avoid last-minute constraints

  • Centralize your channels (online and phone) to not miss any requests

  • Regularly update your hours (exceptions, events, holidays)
